Workspaces and teams

Workspaces

Personal and shared workspaces, switching between them with the rail, colours, and creating, leaving or deleting a workspace.

A workspace holds projects, the people who review them and the agents that publish to them. Everything you see in the sidebar, including the Inbox, All documents and Projects, belongs to the workspace you're in.

Personal and shared workspaces

Your personal workspace is yours alone. It's named after you, has no other members, and always uses the slate colour so you can tell it apart. It can't be renamed, left or deleted. Its name follows the name in your profile.

Organization workspaces are shared. Anyone can create one and invite people into it; the creator becomes its owner. Use one for a team, a company or a client.

The rail

The narrow column on the far left is the rail. It shows a tile for each workspace you belong to. Click a tile to switch; planpage keeps you on the same kind of page, so switching from one Inbox takes you to the other workspace's Inbox. A number on a tile counts unread items waiting in that workspace.

Below the tiles:

  • Create or join a workspace (the + tile) starts a new organization workspace. To join an existing one, you need an invitation from its owner or an admin.
  • Your account (your picture) opens your account settings: Profile, Logins, Agent connections, Notifications, Your data, Security log, Shared with you and Help. These follow you into every workspace, and workspace admins can't see them.

You can also switch from the workspace name at the top of the sidebar, which lists each workspace with your role and how many items wait there.

Right-click a tile, or long-press it on a phone or tablet, for that workspace's menu: Switch to it, Open settings, Invite people and Change colour (owners and admins), and Leave, which asks first. These work on any workspace you belong to, without switching to it first. The current workspace's menu is also behind the ⋯ beside its name at the top of the sidebar.

Colours

Each organization workspace has a colour: Clay, Moss, Sea, Plum, Ochre or Slate. Everyone in the workspace sees the same colour on its tile. It's there to tell workspaces apart and never means a status. Owners and admins change it in Workspace settings → General, or with Change colour in the workspace's menu.

Create a workspace

  1. Click the + tile in the rail, or Create or join a workspace.
  2. Enter a name, usually your team or company. Optionally set the slug, which is used in links and exports; leave it empty to make one from the name.
  3. Click Create workspace. You're its owner, and can invite people next.

Your existing agent connections don't reach a new workspace until you add it to them in Your account → Agent connections.

Workspace settings

Workspace settings in the sidebar has these tabs:

  • General. Name, slug and colour (owners and admins), the custom domain for shared pages, and leaving or deleting the workspace.
  • Members and agents. People, invitations and the agents with access. See Members and roles.
  • Projects. Every project in the workspace, with its repository and document count, archiving and deleting, and the Trash.
  • Billing. The workspace's plan, when billing is turned on.
  • Integrations. The GitHub app. See GitHub.

Leave or delete a workspace

In Workspace settings → General:

  • Leave workspace is available to everyone except the owner. Leave in the workspace's menu does the same. You lose access to its projects and documents at once, and your agent connections stop reaching it. An admin has to invite you again to come back.
  • Transfer ownership is how an owner steps back. In Members and agents, choose Transfer ownership… next to another member. They become the owner and you become an admin, and then you can leave. See Members and roles.
  • Delete workspace is for the owner only. It deletes every project and document in the workspace for all members, and can't be undone. You confirm by typing the workspace's slug.
